Without alerts, integrations, or a centralized view, teams managed records across paper, spreadsheets, and third-party systems, creating redundant work and limited confidence in audit readiness.

We spoke with HR and compliance managers to understand their workflows. Our research uncovered six key needs, guiding us to design a unified tool for managing assets and workers, ensuring compliance, and supporting better decision-making.

I started by defining the terminology and structure of product components, clarifying how sets and templates worked together, and identifying the optimal dashboard organization through research and audits. Since this was a highly requested feature, we moved quickly focusing first on worker qualifications with our existing Forms infrastructure. We ran weekly prototype feedback sessions and launched an alpha with two customers to test worker-centric workflows.

Feedback revealed the need for dashboards covering both workers and assets, along with alerts for expiring records. Based on this, we accelerated the roadmap to include asset qualifications for closed beta and deferred the self-serve driver upload flow to the next phase.

A centralized dashboard where each driver’s qualifications are clearly displayed, highlighting missing, expired, or upcoming records. Filterable tabs let managers focus on compliance efficiently without sorting through large document lists.

Upload Records with AI Extract & Autofill

Managers and drivers can quickly upload qualification records using AI extraction. Drivers in the self-serve flow can simply take a photo to renew or submit new records, while managers benefit from faster record creation.

Set alerts for expiring or missing records, and even trigger critical notifications like stopping a moving vehicle if an asset is non-compliant. Fully configurable to match compliance policies.

Self-Serve Driver Mobile Flow

Drivers will get notifications and can upload new or expiring qualification records directly from their mobile device. Submitted records go straight to managers for approval, reducing the manual administrative work of uploading records.
